How to Read a Timesheet

Read a timesheet one row per day, left to right: clock in, clock out, unpaid break, hours worked. Out minus in, minus the break, gives that day’s total. Add the daily totals for the week, then check the decimal column — 39:45 is 39.75 hours, never 39.45.

Approving a timesheet is a two-minute job when you know which numbers to check and which ones simply restate each other. This guide walks a real week line by line: what each column holds, how to verify a single day, how the week should total, and the handful of errors that look fine at a glance and still reach payroll.

What are the columns on a timesheet?

Layouts vary, but nearly every time card is built from the same nine fields. The rest is formatting.

Two of those columns — Hours and Decimal — carry no new information. They are the same quantity written twice, one for humans and one for the payroll system. If they disagree, one of them is wrong.

How do you read a single day’s row?

Take a row that reads Mon · In 08:00 · Out 16:30 · Break 0:30 · 8:00. Check it in three steps:

  1. Elapsed time first. From 08:00 to 16:30 is 8 hours and 30 minutes. Count the whole hours (08:00 → 16:00 is 8) and then the leftover minutes (16:00 → 16:30 is 30).
  2. Subtract the unpaid break. 8:30 − 0:30 = 8:00. That is paid time, and it is the number the Hours column should show.
  3. Confirm the decimal. 8:00 is exactly 8.00. Had the row ended at 16:45, paid time would be 8:15 and the decimal 8.25, because 15 ÷ 60 = 0.25.

The break line is where most single-row errors live. An employee writes the lunch down honestly, the sheet has a Break column, and nobody subtracts it — so a 30-minute lunch across five days quietly adds 2:30 of unworked time to the week.

How do you check a weekly total?

Here is a full week for one employee at $22.00 per hour. Every row is worked out so you can follow the arithmetic rather than trust it.

Checking Tuesday: 08:00 to 17:15 is 9 hours 15 minutes elapsed, and 9:15 − 0:45 = 8:30. Wednesday: 09:00 to 15:45 is 6 hours 45 minutes, and 6:45 − 0:30 = 6:15, which is 6.25 because 15 ÷ 60 = 0.25.

Now the weekly total, added in H:MM with the minutes carried at 60:

  1. 8:00 + 8:30 = 16:30
  2. 16:30 + 6:15 = 22:45
  3. 22:45 + 8:00 = 30:45
  4. 30:45 + 9:00 = 39:45

So the week is 39 hours 45 minutes, or 39 + 45 ÷ 60 = 39.75 decimal hours. Pay is 39.75 × $22.00 = $874.50.

A useful cross-check: the decimal column should sum to the same figure. 8.00 + 8.50 + 6.25 + 8.00 + 9.00 = 39.75. When the two totals disagree, a single row was converted wrong.

Why is 39:45 not 39.45?

This is the single most expensive misreading on a time card, and it never looks like an error. Minutes run to 60, not 100, so 45 minutes is 45 ÷ 60 = 0.75 of an hour — not 0.45.

Read the week above as 39.45 hours and pay comes out at 39.45 × $22.00 = $867.90 instead of $874.50. That is $6.60 short, from a 0.30-hour gap of exactly 18 minutes. Repeat it every week and it is roughly $343 a year on one employee.

Quick sanity check: on a correct timesheet, no decimal figure ever has minutes hiding after the point. If you see 8.30, 7.45, or 6.15 in a decimal column, someone typed the clock reading. The real values are 8.50, 7.75, and 6.25.

How do you read an overnight shift?

A row reading In 22:00 · Out 06:00 looks broken because the out time is smaller than the in time. It is not broken — the shift crossed midnight.

Split it at midnight and add the pieces: 22:00 to 24:00 is 2:00, and 00:00 to 06:00 is 6:00, so elapsed time is 8:00. With a 30-minute unpaid break, paid time is 7:30, or 7.50 decimal hours. The equivalent shortcut is to add 24 hours to the out time before subtracting: 30:00 − 22:00 = 8:00.

Two failure modes to look for on night-shift sheets. A row showing a negative total (−16:00) means the tool subtracted straight through without accounting for midnight. A row capped at exactly 0:00 or 24:00 means the tool refused to cross the day boundary at all. Both need recalculating, not rounding.

How do overtime and pay codes appear?

The week above is 39:45 — under 40 — so every hour sits on the regular line. Once a week crosses the threshold, a timesheet should split the total rather than show one number.

Take a week of 44:30 at the same $22.00 rate, with a 40-hour threshold and time-and-a-half above it:

Paid-but-not-worked time is the other thing to watch in this section. Holiday, sick, and PTO rows usually carry a pay code and are excluded from the hours that count toward an overtime threshold, so a week with 36 worked hours and 8 holiday hours is generally not a 44-hour overtime week.

What should you check before approving?

A six-point pass catches nearly everything worth catching:

  1. Every worked day has both times. A missing out time usually means a forgotten clock-out, not a zero-hour day.
  2. Unpaid breaks are deducted. Compare the Break column against the Hours column on at least one row.
  3. Overnight rows are positive and uncapped. No negatives, no suspiciously round 24:00.
  4. The daily rows add to the stated weekly total. Add them yourself once; sheets inherit stale totals when a row is edited.
  5. H:MM and decimal agree. They describe the same time, so 8:15 and 8.25 belong on the same row — 8.15 does not.
  6. Hours past the threshold are on the overtime line. And paid leave is not inflating that threshold.
