Hourly Rate to Pay: A Freelancer & Contractor Guide
Pay is decimal hours × hourly rate. The trap is the conversion: minutes run to 60, not 100. A shift of 8:30 is 8.5 hours, so at $20 an hour it pays $170.00. Convert first, multiply second — and decide your rounding increment before the work starts, not after.
What is the formula for turning hours into pay?
Two steps, in this order:
- Convert the time to decimal hours. Divide the minutes by 60 and put the whole hours in front.
6:45becomes45 ÷ 60 = 0.75, so 6.75 hours. - Multiply by the rate.
6.75 × $65 = $438.75.
That's the entire calculation, and it works for a fifteen-minute call or a fifty-hour week. Everything else in this guide is about the decisions surrounding it: how you round, how you handle more than one rate, what overtime does, and what to put on the invoice.

Why can't I just multiply the clock time by my rate?
Because 7:38 and 7.38 are different amounts of time, and a calculator can't tell them apart.
Thirty-eight minutes is 38 ÷ 60 = 0.6333 of an hour, so 7 hours 38 minutes is 7.63 decimal hours. At $45 an hour:
- Correct:
7.63 × $45 = $343.35 - Typed as 7.38:
7.38 × $45 = $332.10
That's $11.25 lost on one session, for work you actually did. Repeat it across a month of entries and the leak is real money. The direction of the error depends on the minutes — below 6 minutes the mistake inflates the time, above that it shrinks it — but it is always wrong.
The safest habit is to never hand-type a decimal you derived in your head. Total the time in H:MM, convert once, then multiply.
What do common shift lengths actually pay?
A reference for the lengths that come up most, at three sample rates. Find your row, then scale: doubling the rate doubles the pay.

Notice that the only clean decimals are the quarter hours — 0.25, 0.5, 0.75. That's why quarter-hour billing is so common, and why anything else needs the division.
How do I calculate a week's pay from a timesheet?
Add the time first, convert once, then multiply. Converting each day separately and adding the rounded results introduces small errors that always run the same direction.
Here's a freelance week billed at $85 an hour:

Check the total in H:MM first: 22 hours is 1,320 minutes, plus 10 makes 1,330. The minutes column agrees, so the addition is sound.
Now the pay, done the accurate way — total minutes, one division, one multiplication:
1330 ÷ 60 = 22.1666… hours → 22.1666… × $85 = $1,884.17
Done the lazy way, by billing the rounded 22.17: 22.17 × $85 = $1,884.45. Twenty-eight cents higher. Nobody is going to dispute 28 cents, but the point is that the two numbers are not the same, and only one of them matches your actual time. Pick the exact route and you never have to defend the difference.

How does rounding change what I get paid?
More than most people expect. Take a single session of 3 hours 22 minutes — 202 minutes — billed at $90 an hour. Here is the same work under four common billing increments:

The exact figure is clean here: 202 × $90 ÷ 60 = $303.00. But the spread across increments is $22.50 — from $292.50 to $315.00 — for identical work. Rounding to the nearest quarter hour sends 3:22 down to 3:15, because 22 is closer to 15 than to 30.
Three practical rules:
- Agree the increment in writing before the work starts. "Billed in 15-minute increments, rounded to the nearest quarter hour" is a single line in a contract and removes every future argument.
- Apply it symmetrically. Rounding up when it favours you and down when it doesn't is the fastest way to lose a client's trust.
- If nothing requires you to round, don't. Exact minutes converted once is more accurate and no harder.
Short tasks are where increments bite hardest. A four-minute email under a 15-minute minimum bills as 0.25 hours — $22.50 at $90. That is either fair compensation for the interruption or an overcharge, depending entirely on what you agreed up front.
What if I bill at more than one rate?
Keep the buckets separate all the way to the end. Never average the hours and apply an average rate — the arithmetic only works if you multiply each bucket by its own rate first.
Say you logged 12:00 of design work at $50 an hour and 5:30 of consulting at $75 an hour:
- Design:
12.0 × $50 = $600.00 - Consulting:
5.5 × $75 = $412.50 - Invoice total: $1,012.50 across 17.5 hours
Your blended effective rate for the week is $1,012.50 ÷ 17.5 = $57.86 an hour. That number is useful for your own planning — it tells you what your time is really earning once the cheaper work is mixed in — but it should never appear as the rate on the invoice. Bill the buckets.
How does overtime change the math?
For employees paid hourly in the US, hours past 40 in a workweek generally carry a premium of one and a half times the regular rate. The calculation splits into two lines.
A 46-hour week at a $22 base rate:
- Regular:
40 × $22 = $880.00 - Overtime rate:
$22 × 1.5 = $33.00 - Overtime:
6 × $33 = $198.00 - Gross: $1,078.00
You can check that a second way: pay all 46 hours straight at 46 × $22 = $1,012.00, then add the half-time premium on the overtime hours, 6 × $11 = $66.00. Same $1,078.00. If two methods disagree, one of them has a mistake in it.

How do I work backwards to set an hourly rate?
Same formula, rearranged: rate = target ÷ billable hours. The mistake almost everyone makes is using 2,080 hours — 40 a week, 52 weeks — as the denominator. Freelancers do not bill 2,080 hours a year. Sales, admin, invoicing, and unpaid gaps eat a large share of the week.
A more honest denominator: 25 billable hours a week across 46 working weeks is 25 × 46 = 1,150 billable hours.
- Target of $75,000 ÷ 1,150 hours = $65.22 an hour, before any costs.
- If business expenses and self-employment tax take roughly 30% of gross, you need
$75,000 ÷ 0.70 = $107,142.86in billings, which is÷ 1,150 =$93.17 an hour.
The 30% figure is an illustration, not a prediction — your actual costs and tax situation will differ, and it's worth working out with an accountant. The transferable lesson is the structure: divide by hours you will genuinely bill, and gross up for everything that comes out before you do.
What belongs on an hourly invoice?
Disputes over hourly invoices are almost always about ambiguity, not dishonesty. A line item that shows its work is very hard to argue with.
- The dates covered. A start and end date, so it's obvious what period you're billing.
- Time in one consistent format. Pick H:MM or decimal and stay with it. Mixing
4:55in one row and4.92in the next invites a query even though they're the same amount of time. - The billing increment, stated. "Rounded to nearest 15 min" or "billed to the exact minute" in the notes.
- The rate on every line. Especially if you have more than one.
- Line totals and a grand total. Each line's hours × rate, then the sum.
- An attached detail record. A CSV or PDF of the underlying entries answers the "what were you doing on Tuesday?" question before it's asked.
Applying that to the mixed-rate example above: two lines — 12.0 hours at $50.00 = $600.00, and 5.5 hours at $75.00 = $412.50 — with a total of $1,012.50 and a note that time is billed to the exact minute.
